St Vincent’s Health Australia (SVHA) is in the process of an all-encompassing digitisation project. A recent need to centralise Human Resources prompted a specific project to enable information collaboration across multiple sites.

SVHA engaged Avantix to digitise their personnel files. This project simultaneously met three objectives: achieve the needed information collaboration, enable greater efficiency of Human Resources processes, and allow the repurposing of valuable office space.

The project represented an essential step in the migration to a payroll shared service for the Private, Aged Care and Group Services Divisions of SVHA. ‘The need arose because SVHA’s service in Queensland expanded to a national service, which resulted in files growing exponentially,’ says the SVHA Project Manager, Ash Hansen.

Avantix is one of Australia’s largest Health information processing providers. Committed to using a Queensland based service, SVHA engaged Avantix after a successful trial.

The images and data needed to be bulk loaded into SVHA’s RM8 Enterprise Management system. ‘In order for this to run smoothly and remove risk, Avantix proposed conducting a test first,’ says CEO, Duncan Lord. ‘This allowed the refining of scripts and schema to ensure data governance and compliance.

SVHA’s expectations were exceeded. ‘Avantix showed commitment to quality,’ says Hansen. ‘There was flexibility on both sides, the project was on budget and communication was very transparent and personable.’

Most importantly, no defects were reported. With over 9,000 personnel files taking up over 150 archive boxes scanned, this is true testament to the high quality digitisation services provided by Avantix. ‘The Project didn’t need any rescanning, that shows very high quality delivery,’ says Hansen.

The project was a first for SVHA in Queensland but was so successful that other hospitals in the region have either completed their own digitisation projects, or are planning to.

The outcomes of the project are efficiencies for Human Resources staff. Instead of having to access paper archives manually, these records are readily available from any of the locations.

The other tangible outcome is space, with Hansen saying: ‘A room dedicated to filing has been repurposed to other commercial interests.’
